General information:

When can I load in? Load-in can begin on Friday at 12:00PM. You will be provided with an on-site contact name for coordination when you arrive.

When can I load out? Anytime you’re done through Sunday night. Please notify coordinator when you leave and please be sensitive to active areas as you do so.

Parking? Parking will be available on festival grounds.

Set up? We will provide up to two tables and two chairs as a standard set up. Please notify us if you need anything additional. Electrical outlets will be available, but it is advised to bring extension cords and power strips. Tents or canopies will not be provided; please bring one if you prefer. Any canopies larger than 10X10 should be cleared by the VOW coordinator. Anticipate being on grass and/or a degree of muddiness if it rains.

Festival time: Vendors and exhibitors are encouraged to provide full service during festival hours, maintaining staffing throughout.

Fees: There are no upfront fees to secure a booth, but if you are a vendor, VOW assesses a fee of 15% of gross sales for participation. Exhibitors are not assessed a fee.

Every application will be reviewed by VOW and vendors/exhibitors will be if contacted if accepted.

Terms and conditions:

Vendor/Exhibitor agrees to obey all rules and instructions as directed by the VOW coordinator before, during and after festival hours.

Vendor/Exhibitor agrees to abide by all directions issued by VOW representatives or Southdown Plantation representatives, which seek to protect the environment and infrastructure of the Southdown Plantation.

VOW will provide limited overnight security at the festival site on Friday, October 12th and Saturday, October 13th; however VOW accepts no responsibility for items left overnight. Vendors/Exhibitors are solely responsible for all items in their area at all times.

Vendor/Exhibitor upon vacating their booth space will ensure that such space shall be free of any and all trash or refuse with such being placed in appropriate containers. Failure to clean their site may result in future denial of participation.

Release of liability: The Vendor/Exhibitor, including all of it’s agents and employees, hereby releases and waives any and all claims for personal injury, product liability, theft or other damage, against Voice of the Wetlands Festival, its agents, contractors, successors and assigns, from or otherwise pertaining to space and equipment rental hereunder, and Vendors/Exhibitors assume the risk of rain, wind, lightening and other weather related events on scheduled while their agents or employees or property are on festival premises, before, during and after scheduled Festival days.

Any violation shall be considered a breach of this agreement and will thereby terminate this agreement, with the Vendor/Exhibitor ceasing operations and vacating the premises.
